Friends of York Art Gallery Data Protection and Privacy Statement

This statement elaborates the Data Protection paragraph on the reverse of the April 2018 revised membership application form. It explains how the Friends of York Art Gallery (FYAG from now on) handles and uses data collected from our members.

We collect personal data for the following reasons: membership renewal and reminders; the Friends’ programme of events; any bookings you may make for these events; sending you the newsletter; other relevant opportunities, events or news stories that may arise between mailings and newsletters; Gift Aid; appeals for donations and legacies; processing subscriptions and donations that you have made, including to our Collection Fund.

The legal basis for collecting and processing personal data is your consent, where you have provided this, and otherwise our legitimate interest.

The personal data we collect is: your title, name, postal address, telephone number and email address. Where members have agreed to set up a standing order to pay for subscriptions we also receive bank account details.

We will only retain personal data on our systems for the duration of your membership (and any reminders) or to satisfy the HMRC Gift Aid regulations.

Only the chair, membership secretary, treasurer, events organisers and the Collection Fund administrator have access to personal information. Any past holders of these offices are requested to delete any personal information that they may hold.

Your postal address may be given to York Museums Trust so that invitations to previews and other gallery events can be sent to you.

With the above exception, we will not sell, rent or share your information with third parties.

You have the right to ask for and be given a copy of the information that FYAG holds about you.

When you give us personal information, we will make every attempt to ensure that it is treated securely. However, details that are transmitted over the internet and by post can never be guaranteed to be 100% secure. Therefore we cannot guarantee the security of any information that you transmit to us and you do so at your own risk. Once we receive your information we make our best effort to ensure its security on our systems.

Our website may contain links to websites of other organisations. This policy statement applies only to our website and we cannot be held responsible for the privacy policies and practices of other sites if you access them using links from our website.

In addition, if you linked to our website from a third party site, we cannot be responsible for the privacy policies and practices of the owners and operators of that third party site.
